 CLUBHOUSE SUBCOMMITTEE MEETING 
WindanSea Boardriders’ Club 
MINUTES 
DATE: 19 Sept 2020 from 2.00 pm-3.30 pm 
VENUE: Moffat Beach Park 
PRESENT: Terry Landsberg (Terry had to leave at 2.30 pm for a Council appointment and only discussed Item 1 before leaving); Don Smith; Mark Tebbutt; Roger Todd; Gary O’Donnell; David Cover; Murray Johnson; Jason Daley; Col O’Brien 
APOLOGIES: Brad Williams; Matt Hadland; Tim Hinley 
Item 1: Treasure’s Report: 
$17 900 in the Clubhouse Account 
Caloundra Mal Club donated $2 200 
Harcourts Reality agreed to donate $3 000. Our invoice has not yet been issued. 
Motion: That the funds in the WindanSea Clubhouse Account are for use by the Clubhouse Management Committee for the process of having the Clubhouse approved and build.

Outcome: Motion accepted by 8 votes in favour and 0 votes against. 
Item 2: Fundraising 
Motion: That a Car Boot Sale organised under Jason’s leadership be held Sun., 04 October from 7.00 am-12.00 noon 
Moved: Jason Daley 
Seconded: Gary O’Donnell 
Outcome: Motion accepted 8 votes in favour and 0 votes against. 
Action: Jason will obtain a permit from the SCRC. Jason will advertise the event. Helpers will be required to assist Jason and to set up from 7.00 am on the day of the event. Gary has lots of memorabilia for sale. Mark & Col have volunteered to help set up. 
Item 3: Planning Court Mediation 
Motion: That the following persons represent WinanSea at the Mediation involving WindanSea, the SCRC and the Appellants: Don Smith; Jason Daley; Brad Williams; and, David Cover 
Moved: Don Smith 
Seconded: Mark Tebbutt 
Outcome: Motion accepted 8 votes in favour and 0 votes against. 
Action: The expert witnesses have submitted their reports for the mediation and / or hearing. Don will email copies of those reports to us. 
Item 4: Clubhouse Construction 
Don raised the issue that if construction approval is received after Mediation that we need to meet immediately to begin the process to get the build underway. In the meantime, Don will approach Integral Homes and Darryl Cook to discuss the building steps and procedures. Don will get back to the us. 
Item 5: Next Meeting: 
Our next meeting will be held after the Mediation Process is concluded. Don will notify us of the date, time and venue.

Since meeting the appellants have decided not to do mediation but go straight to court .this means a court date in November set down ,this could go up to a few days ad involves the use of the Barrister which could be an  big expense ,there is currently $25k in account to fight but its possibly going to be up to $50k needed ,as per the options to fundraise above .Due to now going straight to court the Expert witnesses are still required and it comes down to them and two barristers in court .There will be a need to raise more money 
The T shirts we have done for this year’s Pa Ma Bendall they would like to use 300 as a special edition sold at $60 each.
Motion To sell 300 shirts from this year’s stock at $60 each as special edition, costs of shirts to be repaid to Windansea and profit uses for fighting fund by Terry seconded Murray Vote 4 for 2 against 
Other options include Go Fund Me to be set up and also the possible  location of the Car Boot Sale will be Souls Thongs depot at King Beach on the Sunday the 4th ,this has to be approved by Andy who will be asked if its ok .
looking at putting grant in for younger members some options include voucher to use at Beach Beat, or new equipment such as a new surfboard wetsuit etc. Will need to be further investigation to see if its possible.
Also asked if we could show more support to our sponsors who support us at the Pa Ma Bendall and give them more coverage through the year in media posts etc
